The type of personal information I collect

I currently collect and process the following information for the running of my business:

  • Name and email address, possibly phone number, should you give it, via my Contact Form on the website
  • Postal address (if required to send you physical items, e.g. printed documents)

I currently collect and process the following information in the execution of my business services:

  • Names, addresses, dates of birth, marriage dates, etc. needed to undertake genealogical commissions

How I get the personal information and why I have it

The personal information I process is provided to me directly by you for one of the following reasons:

  • To make an enquiry about my services
  • To fulfil your request(s) in the execution of my services

I also receive personal information indirectly, from the following sources in the following scenarios:

  • From online genealogical databases including, but not limited, to ancestry.co.uk, findmypast.co.uk during searches
  • From physical archives including, but not limited to, the National Archives, parish records during visits

I use the information that you have given me in order to

  • Run my business, i.e. produce invoices
  • Perform the commission(s) you have hired me to undertake
  • Contact you about the progress of your commission(s)

I may indirectly share this information with:

  • Online genealogical databases as mentioned above, either to enable searching for relevant records or to store on such system to enable searching, e.g. building a family tree.

Under the UK General Data Protection Regulation (UK GDPR), the lawful basis I rely on for processing this information is:

  • I have a contractual obligation.

You have asked me to provide an answer to an enquiry or have commissioned me to undertake a genealogical project.  I therefore need to use personal details that you supply in order to fulfil this obligation.

How we store your personal information

Your information is securely stored either in password protected electronic sources, e.g. email accounts, or in a non-public access location.

I keep your contact information while you are a customer, and for no longer than year beyond. I will then dispose of your information by deleting emails and destroying any physical documents.

Information about individuals that is used in the creation of the genealogical ‘product’, e.g. a family tree or a report, may be kept indefinitely as this is my creation and copyright, however these items will be kept securely, usually electronically.  If you have given permission for such items to be used by me for marketing purposes then names and dates, etc. will have been changed.
